Mark orders as Dispatched

How to mark orders as Dispatched (orders that are hand over to the courier):



1. Dispatch orders Manually - By selecting orders and marking them as Dispatched


2. Dispatch orders Automatically - At the time of shipping label generation


3. Dispatch orders Automatically - When the courier scans and picks up the packages


4. Dispatch orders Automatically through the Dispatcher module - Scanning the barcode on the shipping label




In xConnector, there are three categories you can use to organize orders, making it easier to track their progress:

  • New orders: Newly received orders
  • In progress: Orders with at least one document generated
  • Dispatched: Orders that have generated a shipping label (fulfilled) and have been handed over to the courier




To help you keep track of packages handed over to the courier, we offer several options to mark orders accordingly. You can choose from the options below:





1. Dispatch orders Manually - By selecting orders and marking them as Dispatched


  • SettingxConnector - In progress - select orders - click on the arrow - Dispatch orders

  • Send shipping confirmation: The shipping confirmation is sent when the order is manually marked as Dispatched. 
  • Include invoice in shipping confirmation: Yes, if an invoice is generated before or together with the shipping label. Check here the settings.




I select also to send the Shipping confirmation email, then click on Dispatch orders. 





As a result: 

- When you generate a shipping label, the order automatically moves from New orders to In progress.
- Then, when you mark them as Dispatched, the selected orders will move automatically from In progress  into Dispatched orders category.




2. Dispatch orders Automatically - At the time of shipping label generation


  • Settings

xConnector - Profiles - Preferences - Default values - Mark order as dispatched

xConnector - Profiles - Preferences - Default values - Send notifications

  • Send shipping confirmation: The shipping confirmation is automatically sent when the shipping label is generated. 
  • Include invoice in shipping confirmation: Yes, if an invoice is generated before or together with the shipping label. Check here for the settings.




As a result: Fulfilled orders (for which you generate a shipping label) will automatically move from New orders directly to the Dispatched category.



3. Dispatch orders Automatically - When the courier scans and picks up the packages


  • The order is automatically moved to Dispatched based on tracking information when it is confirmed that the courier has picked it up (status: Out of delivery).
  • SettingsxConnector - Profile - Preferences - Tracking - Dispatch order on pick up

  • Send shipping confirmation: The shipping confirmation is sent when the shipping label is generated.
  • Include invoice in shipping confirmation: Yes, if an invoice is generated before or together with the shipping label . Check here for the settings +  Shopify - Settings - Notifications - Shipping update 





As a result: 

- When you generate a shipping label, the order automatically moves from New orders into In progress.
- Then, when the courier pickup the packages, scan and mark them as Out of delivery in their system, the orders will move* automatically from In progress  into Dispatched orders category.


*The tracking module runs every 4-5 hours, not instantly.




4. Dispatch orders Automatically through the Dispatcher module - Scanning the barcode on the shipping label


  • The order is automatically moved from In progress to Dispatched when the shipping label barcode is scanned.
  • SettingxConnector - Dispatcher
  • Send shipping confirmation: The shipping confirmation is sent automatically when the shipping label barcode is scanned.
  • Include invoice in shipping confirmation: Yes, if an invoice is generated before or together with the shipping label. Check here for the settings.




As a result:

- When you generate a shipping label, the order automatically moves from New orders into In progress.
- Then, when you scan the packages barcode, the orders will move automatically from In progress  into Dispatched orders category. 




These options allow flexibility in updating order statuses, facilitating efficient delivery management and ensuring prompt customer notifications.
